Terms and Conditions
1. Role of Travel Advisor
Aurelia Voyages LLC (“Advisor”) acts solely as a travel advisor and booking agent on behalf of the Client. Advisor arranges travel services and facilitates reservations with third-party suppliers such as airlines, hotels, cruise lines, tour operators, transportation companies, and activity providers (“Suppliers”). Advisor is not a Supplier, carrier, tour operator, or insurer and does not control or assume responsibility for the actions, omissions, or performance of any Supplier.
Because Advisor does not collect or hold client funds for air, sea, land, or other travel services—payments are made directly to Suppliers—Advisor is not acting as a “travel promoter” under the Illinois Travel Promotion Consumer Protection Act (815 ILCS 420), and trust-account requirements do not apply.
2. Payments
All Advisor planning or professional service fees are non-refundable.
All trip payments and deposits are made directly to Suppliers.
Supplier payment deadlines, deposit requirements, and refund policies govern all bookings.
Advisor is not responsible for Supplier cancellations resulting from missed payments, declined cards, or late submissions.
3. Cancellations, Refunds & Changes
All cancellations, refunds, and modifications are governed solely by each Supplier’s terms and conditions.
Client is responsible for all Supplier-imposed penalties, fare differences, change fees, or no-show charges.
Advisor fees remain non-refundable at all times.
If a Supplier cancels or alters services due to weather, operational issues, strikes, government actions, natural events, or other circumstances beyond Advisor’s control, the Client’s remedy lies exclusively with the Supplier.
4. Travel Documents, Entry & Health Requirements
Client is responsible for ensuring compliance with passport, visa, vaccination, health, COVID-related, and destination-specific entry requirements.
Advisor is not liable for denied boarding, entry refusal, quarantine requirements, or financial losses due to incomplete or inaccurate documentation.
5. Travel Insurance (Illinois Required Disclosures)
Travel insurance is strongly recommended to protect against trip cancellations, medical emergencies, delays, lost baggage, Supplier default, and other unforeseen events.
Clients may receive a quote or referral for a travel protection plan, which may include travel insurance, assistance services, and/or Supplier-provided cancellation waivers.
Under the Illinois Travel Insurance Act (215 ILCS 5 / Article XLVI):
Purchase of travel insurance is optional and not a condition of purchasing any travel service.
If an insurance plan is bundled with other travel services, the Client may request a description of its material terms, coverage, exclusions, claims process, and the identity of the insurer before purchase.
By declining travel insurance, the Client accepts full responsibility for all financial losses arising from trip interruptions, delays, medical situations, or Supplier failures.
6. Advisor Liability
To the maximum extent permitted by Illinois law, Advisor is not liable for:
acts or omissions of any Supplier;
injury, illness, property damage, inconvenience, delays, or financial loss;
weather events, natural disasters, epidemics/pandemics, government actions, terrorism, civil unrest, or force majeure events;
missed flights, connection failures, schedule changes, or Supplier bankruptcy;
changes to hotel quality, amenities, availability, or travel experience.
Client acknowledges that all travel involves inherent risk and agrees to assume all responsibility for their personal choices, conduct, safety, and participation in activities.
7. Supplier Terms & Conditions
All bookings are subject to the Supplier’s own rules, including but not limited to:
payment schedules
cancellation policies
refund procedures
baggage rules
change fees and fare differences
operational changes and force majeure
liability limitations
Supplier terms control in the event of any conflict with Advisor’s terms.
8. Accuracy of Information
Advisor uses reasonable care in selecting Suppliers and providing information. However:
flight schedules, hotel amenities, destination requirements, and service availability may change without notice;
Advisor is not responsible for costs arising from such changes;
Client must review all travel documents, confirmations, and names immediately upon receipt.
9. Client Responsibilities
Client agrees to:
provide accurate traveler information and preferences;
verify all confirmations and travel documents for accuracy;
comply with Supplier rules, destination regulations, and safety requirements;
maintain valid identification throughout travel and adhere to timelines required by Suppliers.
10. Governing Law
These Terms & Conditions and any disputes arising from them are governed by the laws of the State of Illinois. Venue shall be in Illinois.
11. Acceptance of Terms
By paying any planning fee, submitting traveler information, or authorizing Advisor to proceed with reservations, the Client acknowledges they have read, understood, and agree to be bound by these Terms & Conditions.
