What Does a Luxury Travel Advisor Actually Do?

One of the biggest misconceptions about working with a travel advisor is that our job is simply to make reservations.

In reality, the reservation is often the easiest part.

Before I recommend a hotel, I am considering its location, room categories, service level, amenities, recent guest experience, surrounding area, how it fits into the itinerary, and whether it is actually the right property for this particular client.

Before I recommend an experience, I am looking at the quality of the supplier, timing, logistics, cancellation policies, and how that activity fits with everything else planned that day.

For a multi-destination trip, I am also considering how you will move between each location, whether the itinerary is too rushed, where private transportation makes sense, how much downtime you need, and whether the trip feels cohesive from beginning to end.

Then there are the details most travelers do not think about until they encounter them.

When do reservations open? Is that 9:00 a.m. flight actually a good idea based on where you are staying? Is the hotel room marketed as an ocean view really worth the upgrade? Should you spend three nights here or four? Is the private tour worth twice the price of the small-group option? Will you realistically have enough time between your arrival and dinner reservation?

Individually, these decisions seem small.

Collectively, they determine how a trip feels.

The 30 to 40 Hours You Get Back

If you genuinely enjoy spending evenings comparing hotels, reading hundreds of reviews, researching neighborhoods, vetting tour operators, mapping transportation routes, and keeping track of reservation windows, you absolutely can plan an incredible vacation yourself.

The question is whether you want to.

One of my favorite parts of working as a luxury travel advisor is being able to enhance a client's stay beyond the room they could book themselves online.

Through my hotel partnerships and preferred programs, eligible reservations can include benefits such as:

  • Room upgrades, when available

  • Early check-in and late checkout, when available

Depending on the hotel, those benefits can add meaningful value to a stay.

But the part I love most often cannot be assigned a dollar amount.

The Right Hotel Is More Important Than the Most Expensive Hotel

Luxury travel is not about automatically choosing the most expensive option.

It is about choosing the right option.

Two five-star hotels in the same destination can deliver completely different vacations. One may be ideal for a couple who wants privacy, incredible dining, and uninterrupted relaxation. Another might be perfect for a family that wants a beautiful resort with plenty happening throughout the day.

Neither hotel is necessarily better.

One is simply better for you.

This is where personalization matters.

When I plan a trip, I want to understand how my clients actually travel. Do you want every day planned or plenty of flexibility? Do you care more about the room or the location? Would you rather splurge on a private boat day or upgrade your hotel? Do you want Michelin-starred dinners or charming neighborhood restaurants? Are you happiest exploring from morning until night, or do you want three hours by the pool built into the afternoon?

Your answers change what I recommend.

A luxury trip should never feel like someone else's idea of luxury.

Your Itinerary Should Work in Real Life, Not Just Look Good on Paper

It is surprisingly easy to create an itinerary that looks incredible in a spreadsheet and feels exhausting once you actually travel it.

Three countries in ten days might sound exciting until you realize how much of your vacation will be spent packing, checking out, transferring to airports, flying, collecting luggage, driving to another hotel, and checking in again.

A beautiful restaurant recommendation is not particularly helpful if it is an hour from your hotel.

And a spectacular private tour loses some of its appeal when it starts at 6:00 a.m. the morning after you arrive from an international flight.

Thoughtful itinerary design considers the experience between the highlights.

I pay attention to pacing, geography, transportation time, arrival and departure days, and how demanding each experience will actually be. Sometimes the best recommendation I can make is adding another night somewhere. Other times, it is removing an activity altogether.

More is not always better.

The goal is to return home thinking, "That was exactly the trip we needed," rather than feeling like you need another vacation to recover from it.

When Something Changes, You Have Someone in Your Corner

Even meticulously planned trips encounter the unexpected.

Weather changes. Flights move. Tours cancel. Hotels make mistakes. A restaurant you were excited about suddenly closes for a private event.

When you book everything yourself, you are also responsible for figuring out what happens next.

When you work with a travel advisor, you have someone who already understands your itinerary and can help navigate those changes.

That support is especially valuable on a complex or high-investment trip. If something goes wrong, you should not have to spend an afternoon of your vacation searching for alternatives and making international phone calls.
